Information we collect
When you contact us, we collect your name, email address, organisation if provided, enquiry category, message and subsequent correspondence. This may include information about a potential location, operational requirements or partnership.
Our hosting and security services may also process technical information such as your IP address, browser and device information, access times and security events.
Please avoid including patient information, medical records or other sensitive personal information in the contact form.
How we use your information
We use enquiry information to respond, understand your requirements and discuss potential sites, services or partnerships.
We rely on our legitimate interests in managing relevant business enquiries and developing business relationships. Where you ask us to take steps towards a contract with you personally, we may instead rely on the necessity of taking those steps.
We use technical information for our legitimate interests in maintaining a secure, reliable website and preventing spam and misuse.
Providing information through the form is voluntary. However, we need the required contact details and sufficient information about your enquiry to respond.
We do not use contact-form submissions to subscribe you automatically to marketing communications.
Service providers and sharing
We use:
- IONOS to host the website.
- Microsoft 365 to send, receive and store email correspondence.
- Cloudflare Turnstile to help distinguish legitimate visitors from automated submissions.
Contact Form 7 processes enquiries within our WordPress website, and FluentSMTP connects website email delivery to Microsoft 365. Email-delivery logs may contain recipient details and message content.
Access is limited to people and providers who need it for these purposes. We may also disclose information where required by law or necessary to establish, exercise or defend legal claims.
We do not sell your personal information.
International processing
Our providers may process information in countries outside the United Kingdom or European Economic Area.
Where required, international transfers must be covered by an applicable adequacy decision or appropriate safeguards, such as approved contractual clauses. Contact us for information about the arrangements applicable to your data and how to obtain a copy of relevant safeguards.
How long we keep information
Enquiries that do not develop into an ongoing business relationship are normally deleted within 12 months of the last meaningful contact.
Where an enquiry develops into a business relationship, we retain relevant correspondence for as long as needed to manage that relationship and meet applicable legal obligations or deal with claims.
Technical and email-delivery logs are retained only as long as reasonably needed for security, troubleshooting and delivery checks. Backup copies may remain until replaced or deleted through the applicable backup cycle.
Cookies and spam protection
We do not currently use analytics, advertising trackers or embedded maps on this website.
We use Cloudflare Turnstile for spam protection. It processes technical browser and device signals to assess whether a submission is automated. Further information is available in Cloudflare’s privacy policy.
WordPress may use cookies for authorised administrators signing in to manage the website.
